在現(xiàn)如今這個網(wǎng)絡(luò)科技日益發(fā)達的時代,人們的交流共同工具也發(fā)生著很大的改變,這在很大程度上也影響了國際貿(mào)易中的所使用的交流聯(lián)系手段。因此,外貿(mào)業(yè)務(wù)員無論是新人,還是“老油條”,掌握好一定的外貿(mào)開發(fā)信寫作技巧那在實踐工作中還是十分受用的。
1.發(fā)送并不緊急的“緊急”郵件
發(fā)“緊急”郵件時,建議別做“狼來了小孩”,否則當你真的有緊急郵件的時候,就沒人關(guān)注了。
2. 滿屏大寫字母
ARE YOU YELLING??—這是大寫給人的視覺效果。除非你想給客戶一劑“強心針”,否則就把CAPS LOCK關(guān)掉吧。
3. 太不拘小節(jié)
郵件能側(cè)面反映你跟客戶的關(guān)系,表達太隨意只會顯得專業(yè)素養(yǎng)不高。我建議在使用感嘆號、表情、字號字體和短語時多加斟酌。
此外,并非每個人都能讀懂縮寫。如果客戶和你是不同年齡層,或者有語言障礙,那么請寫出全稱。
4. 表達太生硬
我經(jīng)常收到一些“一行式郵件”,這看起來好像是系統(tǒng)自動回復(fù)。有時候適當表達自己的個人特色和情感會對談判比較有利,否則表現(xiàn)的太像機器人了。
5. 在凌晨三點發(fā)送郵件
我只有偶爾醒的特別早,感覺自己很有干勁的時候這么做過。但是據(jù)我調(diào)查,即使是在“7天24小時”工作狂的世界里,這也不會被大多數(shù)人接受。當然,如果夜里突然有了靈感,建議你寫郵件存到草稿箱,然后在工作時間發(fā)出去。
(特別提醒:我們很多國外客戶與中國存在時差,此時發(fā)郵件就要特別注意,你的上午9點,也許是TA的午夜。)
6. 使用模糊主題行
“It’s me””Hey” or “FYI”開頭會讓你的客戶感覺很困惑,他不知道你這封郵件想說明什么,自然不會愿意花寶貴的時間去打開它。在商務(wù)往來中,郵件最好簡明扼要,這樣才能促使客戶看到后更快地給出反饋。
7. 沒有主題行
沒有主題的郵件會讓人很火大,客戶只會當成垃圾郵件處理。
8. 未開門見山
如果你在郵件結(jié)束時才拋出你的觀點或者疑問也很令人討厭,因為客戶還得重頭再看。郵件的目標是簡潔并且尊重客戶的時間。
9. 不知所謂的郵件地址
不論是給客戶,同事還是任何人發(fā)郵件,如果要體現(xiàn)專業(yè)度,就得棄用非正式的電子郵件賬戶。畢竟含有敏感詞匯的賬戶一開始就會給人不好的印象。
但如果你堅持使用,為了專業(yè)素養(yǎng),至少應(yīng)該獨立創(chuàng)建一個單獨的電子郵件賬戶。
10. 太長的述語
署名下方帶有簽名檔是可以的,但信息太冗長沒人會閱讀。你的信息需要契合商業(yè)產(chǎn)品形象。
11. 每封郵件結(jié)尾都有保密通知
當你通過電子郵件發(fā)送文件或者圖片時,內(nèi)容是否保密取決于客戶。建議在發(fā)送敏感文件之前,和客戶達成保密約定,這樣即使有信息泄漏的情況出現(xiàn),你也持有證據(jù)。
12. 帶有情緒的語氣
當客戶三周之后才回復(fù)你郵件時,你的下一封郵件中往往會帶有一點憤怒的情緒。但是這對于談判有害無利,所以永遠不要發(fā)語氣刻薄的郵件給你的客戶。
我建議將回復(fù)郵件存在草稿箱中2天,然后拿出來修改,去掉主觀情緒,這會幫助你更快的完成自己的目標,因為你表現(xiàn)出的是你的耐心和專業(yè)度而非情緒化。
13. 太敷衍
如果你跟客戶很熟,那么有時可以省掉一些細節(jié)。但如果這個客戶跟你不熟或者訂單量很大,那么禮貌和專業(yè)一定要?!盤lease””Thank you”以及結(jié)尾處像是”Best”這些詞不可少。
14. 數(shù)不盡的錯別字
“錯別字多是因為這是我用iPhone發(fā)的?!卑萃?,這已經(jīng)不再是錯別字多的借口!現(xiàn)在每個人都會從手機端收發(fā)郵件,如果是非常重要的客戶,那么在發(fā)出之前必須檢查是否有錯別字。
15. 討厭的標點
如果你想用感嘆號來表示你的開心,用一個就可以了。人們有時候忘乎所以的在句子結(jié)尾加上很多感嘆號,這會讓客戶感到你很情緒化,并不利于訂單的完成。
16. 非專業(yè)字體
手寫體要分場合,對于商務(wù)往來郵件,你得保證你的字體顏色大小規(guī)范。最重要的原則是:讓客戶便于閱讀。
通常,最好選擇10-12號字號,易讀的字體,像是Arial,Calibri或者Times New Roman。顏色當然是黑色最為保險。
17. 太冗長
大多數(shù)人花幾秒鐘(不是分鐘也不是小時)來閱讀一封電子郵件,很多人甚至只是大致瀏覽,因此寫郵件時最好將郵件分成短小段落,列出條理就更好了。對于重要信息可以用粗體或者斜體標注,但是要適量使用。
